Presenter Quick Guide

Please review the following guidelines carefully before your presentation: 

Presentation Timing

  • Each presentation is allocated 12 minutes + 3 minutes for Q&A. Please adhere strictly to this timing. 

  • Please prepare a short bio (2–3 sentences) and share it with the session chair in advance of your presentation. 

  • Presenters are expected to follow the assigned timing strictly to ensure sessions remain on schedule. 

  • Multiple parallel sessions will run throughout the Congress. Please carefully check your assigned presentation time and room in ConfTool or the conference program. 

Presentation Language

  • English is the primary language of the Congress.

  • For selected CSRS invited sessions, presentations may also be delivered in French. 

Technical Support 

If you experience any technical difficulties or have questions regarding your presentation, please visit the Speaker Ready Room  (Room no 711) or contact on-site staff for assistance. 

Note regarding Wifi:  Presenters may use the conference WiFi if their presentation requires an internet connection. However, connectivity can be unreliable. It is therefore recommended that all presentation materials be prepared to run offline whenever possible.   

Presentation Upload

  • Presenters are welcome to use our Official Presentation Template

  • All presenters are required to upload their presentation slides through the Presentation Submission Portal in advance.

  • Additional instructions and the portal link will be provided separately.

  • Presentations will be delivered using the on-site computer provided in the session room. 

  • PowerPoint and PDF 16:9 landscape formats are recommended. 

  • Presenters are strongly encouraged to bring a backup copy of their presentation on a USB drive or cloud storage. 

Before Your Session

  • Please arrive at your session room at least 10–15 minutes before the session begins.

  • Introduce yourself to the session chair before the start of the session.

  • Confirm that your presentation has been loaded correctly on the room computer. 

Best Practices for Oral Presentations 

Technical Requirements:  

  • Prepare your presentation using PowerPoint (2000 or later, MS Windows)

  • Set slide size to: 

    • "On-screen show”

    • Landscape orientation (16:9) 

Structuring Your Presentation:  

  • Ensure your presentation has a clear flow such as:

    • Introduction

    • Key points / findings

    • Conclusion

  • Focus on the most important messages

  • Identify 2–3 key takeaways for your audience

  • Keep slides concise—less is more 

Presentation Delivery Tips:  

  • Do not read slides word-for-word

  • Use slides as visual support for your verbal explanation

  • Speak clearly and guide the audience through your key points

  • Emphasize what is most important and why it matters 

Slide Design & Formatting:  

  • Use high-contrast text and background

  • Limit text per slide: 5–10 lines or 15–20 words

  • Minimum font size: 14–16 pt

  • Avoid overly dense slides

  • Use visuals (charts, graphs) to support key messages

  • Ensure strong contrast for readability

  • Avoid using red text or lines, as they may not be clearly visible
